Every step has an owner, and the date has one.

Enquiry to order, brief to delivery, invoice to cash. Every step names who does it, and the Client appears exactly twice in the five days.

Step one

From enquiry to order.

Eight of the nine steps, each with one owner.

  1. Log the enquiry

Source, channel and the tracking token go into the CRM before anything is answered.

    Producer
  2. Reply inside four working hours

Never a bare price. Always the price and the link to the page it came from.

    Producer
  3. Scope in three questions

Proposition, destination, logo file. More than three means it is a call, not a thread.

    Producer
  4. Check it against the list

If the scope is on the published list, the number is the number. If not, the founder scopes it in writing first.

    Producer, then founder
  5. Send the order form

Pre-filled with the tier, the price and the dates. Two minutes to sign, no printing.

    Producer
  6. Raise the deposit invoice

Fifty per cent. The invoice carries the withholding line whether or not it applies.

    Accounts
  7. Confirm clearance in writing

The clock starts on clearance, and the delivery date is stated once, in writing.

    Accounts
  8. Open the job

Job number, folder, brief and a calendar block for every stage. The producer owns the date.

    Producer
Step two

The clock, step by step.

Six stages across five working days. The producer owns the date and the studio owns the craft.

  1. Day 0, lock the brief

One proposition, one destination, one approver named. Anything unresolved is resolved now.

    Producer
  2. Day 1, script and animatic

The studio writes the script, sent by midday and approved by end of day. The animatic follows.

    Copywriter, motion
  3. Days 2 to 3, build

Animation, voice, mix and sound design. No client contact during the build.

    Motion
  4. Day 4, captions and quality check

Both languages, checked by a second person. Loudness measured. Then the single client review.

    Copywriter, producer
  5. Day 5, deliver

Every format on one link, named to the convention. The balance invoice goes with it, not after.

    Producer
Step three

Invoice to cash, and the review.

The order is finished when the money has cleared and the review is up.

  1. Balance invoice on delivery

Attached to the delivery message, at the moment of greatest goodwill.

    Accounts
  2. Show the withholding line

Always, even at zero. A resident corporate client deducts 5 per cent on service payments.

    Accounts
  3. Chase on a schedule

Day 7 a reminder, day 14 a call, day 21 the founder. Written, polite, identical every time.

    Accounts
  4. Ask for the review and the numbers

Day 7 for the review, then what moved and permission to publish it.

    Producer
  5. Publish the case study

One page, five facts, sent to the Client before it goes up. One a month.
